About this template
This page is a template. It must be reviewed by a Canadian lawyer and an insurance professional before it is used with real customers.
Text in [square brackets] is a placeholder or a suggested default that the business owner must confirm or replace.
In this page, “we”, “us” and “FilmRental” mean [Legal entity name], operating as FilmRental at filmrental.ca. “You” means the person or company renting from us.
What we rent
We rent photo, video and cinema equipment, lighting, sound, grip, drones and studios in Toronto (ON), Montreal (QC) and Vancouver (BC).
A booking is only confirmed when we send you a written confirmation by email. Availability shown on the website is an estimate until then.
Prices, rental days and discounts
All prices are in Canadian dollars (CAD). Prices marked “from” are estimates. The final price is confirmed in writing before you pay.
One rental day is 24 hours from pickup. Multi-day rates are:
- 3 days = 2.5 daily rates
- 1 week = 3 daily rates
- 10% off for rentals of 14 days or more, and 20% off for rentals of 28 days or more
Weekend special: pick up on Friday and return on Monday and pay for 1 day.
Taxes
Applicable sales taxes are added to your rental total based on the province: Ontario HST 13%, Quebec GST 5% plus QST 9.975%, British Columbia GST 5% plus PST 7%. [Tax rates to be confirmed with the accountant.]
The security deposit is not taxed.
Security deposit
We place a hold (pre-authorization) on your credit card. The amount is the greater of CAD 100 or 10% of the replacement value of the equipment, rounded to the nearest CAD 50. [Owner to confirm.]
The hold is released after the equipment is returned and checked. Your bank may take several days to show the release.
Pickup, return and late returns
Pickup and return happen at the pickup location confirmed in your booking, or by delivery if you ordered it (see the Delivery & Pickup Policy).
Check the equipment when you receive it and tell us right away about anything missing or not working. If you do not, we may assume it was complete and working.
Late returns are charged at the daily rate for each extra day [or part of a day]. Please contact us before the return time if you need more time.
Your responsibilities
You are responsible for the equipment from pickup until we receive it back. You agree to:
- use it as intended and as shown in the manufacturer’s instructions
- keep it secure and never leave it in an unlocked or unattended vehicle
- not sublet, lend, sell or modify it
- keep it away from water, sand and extreme conditions unless it is made for them
- return it clean, complete and with all cases and accessories
Drones
To rent a drone, the pilot must hold a valid Transport Canada pilot certificate for the type of flight. We may ask to see it. You are responsible for following all aviation rules and local laws.
If you do not have a pilot, you can ask us for one. This is quoted separately.
Insurance, damage and other policies
Every rental needs coverage: your own certificate of insurance or our damage waiver. See the Insurance & Damage Waiver page.
Damage, loss and theft are covered by the Damage & Loss Policy. Changes and cancellations are covered by the Cancellation Policy.
